Securing Game Day Without Running a Second System

Unifying campus and venue security into a single operational platform eliminates fragmented workflows and accelerates incident response during major event surges.

For most of the year, a college or large high school is defined by the steady rhythm of daily life, students moving between classrooms, activity in residence halls, and the constant flow of campus operations.

On a home game night, that same footprint briefly holds tens of thousands of people moving through a handful of gates. The campus hasn't grown. The risk has.

During a major event, the volume of people, vehicles, and security staff climbs sharply. Instead of watching a handful of buildings, operators are suddenly managing an entire campus ecosystem, temporary traffic patterns, restricted areas, outside agencies, and thousands of visitors who don't know the campus layout. The challenge usually isn't the number of cameras. It's giving operators enough context to understand what's happening everywhere at once.

Mistakes Schools Make Most Often 

The most common error is treating event security as a separate operation from day-to-day security. Teams focus on what's easy to add; temporary cameras, extra staff and skip the harder questions that decide how an event actually goes:

  • Can everyone access the same live video?  
  • Are outside agencies seeing what campus police see?  
  • Are alarms and analytics flowing into one operational view?  
  • Can an operator quickly find the cameras around a developing incident? 

The related trap is planning around hardware instead of workflows. A safe event is not determined by how many cameras are installed. It is determined by how fast staff can detect, verify, and respond.

When event cameras, a temporary command post and mobile deployments live outside the primary system, operators end up watching multiple screens, logging into separate platforms, losing centralized alarm management, and relaying information by radio all in the moments when seconds matter most.

What One Platform Looks Like at Scale 

The University of Kentucky shows what that consolidation looks like in practice. UK's police department once managed dozens of disconnected systems; today it runs more than 8,000 access control points and 3,000 cameras on a single platform. That same system reaches Kroger Field, which can seat close to 58,000 people.

What matters there is not the camera count; it is that the stadium runs on the campus system, not a parallel one. UKPD operates two video walls: one at emergency dispatch, another in the stadium command center used on game days to monitor traffic and crowd flow around the perimeter before and after the event.

Their previous setup showed eight cameras at a time and forced operators to cycle through feeds; the current one displays more than twenty at once. On an ordinary day that is convenience. During the surge around kickoff or a final whistle, seeing everything together is what allows a security team to act before a problem grows.

Beyond Football 

Games get the attention, but campuses face equal or greater complexity during events that are easy to underestimate: graduations spread across multiple venues, concerts and community festivals, protests and demonstrations, political speakers, and move-in and move-out weekends.

Each brings its own crowds, temporary access rules and outside agencies. The teams that manage them calmly are the ones working from a shared operational picture; interactive maps to locate incidents geographically, centralized monitoring across distributed sites, and access control and analytics feeding a single view rather than piecing together separate tools under pressure.

The cost of a fragmented setup shows the gap between noticing something and acting on it. A separated child at a packed concourse, a medical emergency in an upper deck, a crowd surge at a single gate, each is manageable when operators can locate the nearest cameras instantly and share that view with medical and police at once. The delay, not the incident, is what turns a manageable situation into a serious event.

Start With the Picture, Not the Hardware 

Few campuses can rebuild everything at once, and they do not need to. The first step toward being event-ready is not replacing every camera; it is creating a unified operational view.

Consider this example: Centralize management of the cameras and recording infrastructure already in place. Build interactive maps for the venues that matter to most stadiums, arenas and large gathering spaces. Bring access control and any existing analytics into the same operator workflow. Add advanced analytics where they deliver the most value, such as crowd detection, people counting, or intrusion detection. Then expand incrementally, rather than attempting a campus-wide replacement.

This phased approach improves readiness while preserving most of the existing investment and it scales as needs grow. 

The question worth asking is not whether today's system covers a quiet afternoon. It is whether the system you trust at 2 p.m. on a Tuesday is the one you'd want running at kickoff with 50,000 people at kickoff on Saturday morning. When those are the same system, the biggest night of the year stops being a special project.
