New York City Real Estate Firm Using EasyLobby Secure Visitation Management Software

Trinity Real Estate, a firm based in New York City, is using HID Global's EasyLobby Secure Visitor Management software to streamline how tenants can control visitor access at their firm's commercial real estate properties in Lower Manhattan.

The EasyLobby Secure Visitor Management software provides tenants with a reliable, secure, and easy-to-use system for approving or denying visitor access. Users fill out a a one-page entry form on the computer, including the visitors' names and who they will be seeing, where they will be going, and when they will arrive and leave. HID Global scans each visitor's driver's license when they arrive and then matches it to the visitor request form using the software. When the system validates the visitor's identification, it prints a badge with a bar code that includes standard guest access information that the visitor presents to a card reader in the lobby to gain entry.

“It takes approximately 20 seconds for a person to be cleared at the lobby desk after the employee completes the entry form on his or her desktop computer,” said Lois Martano, security technology manager at Trinity Real Estate.  “The EasyLobby system is also helpful with repeat visitors.  For example, if an actor is coming to the building to film part of a movie for two weeks, his visitor pass will expire after that period.  However, if the company calls the actor back to reshoot some of the footage, it’s not necessary to create a new entry from scratch.  An employee can retrieve the entry screen for a past visit, change the dates, and resubmit the visitor pass request.”

The softare also simplifies that process of replacing lost visitor badges and invalidating old ones, checking wtih the appropriate employee if an expired visitor badge is presented at the lobby and monitoring the number of visitors in the building so there's instant information in the event of an emergency evacuation.  Tenants can create "watch" lists of visitors they won't allow to enter and run reports about visitor volume and activity during certain time frames.

Trinity's EasyLobby soystem includes a software program with a Web interface, ID scanner and paper badges that intergrate with access control systems and turnstiles that were already installed in the building lobbies.
